Navigating to Resource Scheduling Definitions

What are Resource Scheduling Definitions?

Resource Scheduling Definitions is a set of business rules used to control the behaviour of Resource Scheduling throughout its Life Cycle.  Settings defined in the Definition are taken into consideration when creating new Resource Plans and Resource Requests.

Resource Scheduling Definitions can be edited, deleted and have their Life Cycle State changed.

  • Navigate to Resource Scheduling Definitions and explore existing entries via the Summary page
  • Click on the link (Name or Number) of the entry of your interest to access the Data Entry page and see more detail.

  • Use the Actions Menu to create a NEW Definition, modify (EDIT), or DELETE an existing one.  

  • Use BACK to return to the Summary page and CANCEL to revert any unwanted changes made to the Definition. 

  • Click on the Audit Log button to view a log of changes performed on the displayed Resource Scheduling Definition.

  • Multiple Resource Scheduling Definitions can exist in the System, but each one should have a unique Name and Alternative Code.
  • Only one 'Active' Resource Scheduling Definition can exist at any given time.
  • If there is no 'Active' Resource Scheduling Definition, then Resource Scheduling cannot be created.
Create
  • Mandatory Fields must be defined.
  • Name and Alternative Code must be unique.
  • Not Applicable
Edit
  • Mandatory Fields must be defined.
  • Name and Alternative Code must be unique.

Delete

  • Cannot be deleted if it is the 'Active' Definition

Name

Description

Main Information

Name*

A name describing the Definition.

State

Determines if the Definition is 'Active' or not.

Description

A description of the Definition.

Alternative Code

A code which can alternatively be used to identify a Resource Scheduling Definition. Unless otherwise specified, the Alternative Codes for new entries default to the Name initials in capital letters.

Allowed Activity Types

Determines the Activity Types that will be allowed to request resources, and define the maximum number of resources that can be requested, either per Activity Service or Activity

Activity TypeThe Type of the Activity.
Maximum number of Resource Requests

The number of maximum accepted or pending Resource Requests that are allowed to be submitted either for an Activity or an Activity Service.

Resource Request Confirmation is Required for Activity Resource Requests

Determines if an available Resource should automatically be reserved whenever a Resource Request is submitted or whether confirmation should be requested.

If confirmation is required, then the Resource Request is created in a 'Pending' Life Cycle State. If no confirmation is required, then the Resource Request is created in an 'Accepted' Life Cycle State.

Force Resource Requests on Activity Types

Select the conditions that if met, will require a Resource Request to be defined and completed before the Activity can be closed.
The following attributes are available to be set as conditions:

  • Activity Type
  • Product
  • Product type
  • Life Cycle State
  • Status

The Activity Types that can be selected are associated to the allowed Activity Types set on the Resource Scheduling Definition.

Automation on Jobs
Request Confirmation is Required for Job Resource Requests

Determines if an available Resource should automatically be reserved whenever a Resource Request is submitted or whether confirmation should be requested.

If confirmation is required, then the Resource Request is created in a 'Pending' Life Cycle State. If no confirmation is required, then the Resource Request is created in an 'Accepted' Life Cycle State.

Force Resource Requests on Job Types

Select the conditions that if met, will require a Resource Request to be defined and completed before the Job can be closed.
The following attributes are available to be set as conditions:

  • Job Type
  • Job Status
  • Activity Type
  • Product
  • Product type

Default Resource Plan Settings

Determines the default Resource Plan settings that will be automatically set on creating new Resource Plans

Default Working Days

The default working days which will be automatically selected when creating a new Resource Plan.

Default Working Hours

The default working hours which will be automatically set when adding new Resource Plan Entries.

Default Effective Availability Percentage

The default Availability Percentage value which will be set by the System when creating new Resource Plans.

Determines the percentage of the total time available which can be considered as 'Effective'. If specified, then only that percentage value will be available for booking by Resource Requests. If not specified, then 100% of the available time is considered as 'Effective'. A percentage value greater than 100 can be specified.

Default Overbooking Percentage

The default Booking Percentage value which will be set by the System when creating new Resource Plans.

Determines the percentage of the total time available which can be booked in excess of the actual capacity. If specified, then the Effective Availability plus the Overbooking Percentage will be available to be booked by Resource Requests. If not specified, none of the available time is considered as 'Effective'.
