Explaining Rewards Participants Fields

Name

Description

NumberAn auto generated number that uniquely identifies each award rewards participant
Accounts Receivable*The accounts receivable owned by the rewards participant that identifies the CRM.COM customer, and handles all financial transactions that might be posted as a result of award or spend reward transactions
Participating Schemes

A list of reward schemes that the rewards participant has joint. The following information is kept for each reward scheme:

  • Reward Scheme
  • Sign up Date
  • Sign up by Unit
AVAILABLE FROM CRM.COM R9.0.0 - Signed off Participating Schemes

A list of reward schemes that the rewards participant has already signed off from. The following information is kept for each reward scheme:

  • Reward Scheme
  • Sign up Date
  • Sign off Date
  • Sign up by Unit

This section is "Read only" and only available if the participant has signed off a participating rewards scheme

Sign up Date*The date that the participant signed up
Sign up by Unit*The unit that signed up the participant
Access Tokens*The access token which is used to identify and access the rewards participant information. Access token can be automatically generated depending on the active access token definition settings

Creating a Rewards Participants

  1. Navigate to Rewards Participants
  2. Search using the criteria available in the summary page
  3. From the top menu click on the NEW to open the Rewards Participants data entry page
    REWARDS PARTICIPANTS
  4. CONTACT INFORMATION

    1. New Contact Information 
      1. Select Type between Person and Company
      2. Fill out the required information. Mandatory fields are marked with asterisks ( * )
        1. For Persons: First and Last Name + any fields defined in the Contact Information Uniqueness Rule
        2. For Companies: Company Name + any fields defined in the Contact Information Uniqueness Rule 
      3. If you would like to fill out more information click on the ADD MORE INFORMATION link, else proceed to the next step
        Contact Information modal window will open
        1. Fill out the required information. Visit Managing Contact Information for more information on creating a new contact
        2. Once you are done, click on "CLOSE"
           
    2. Existing Contact
      1. Click on USE EXISTING CONTACT
      2. Search the contact to load his contact details. Click on MODIFY CONTACT INFORMATION to add more information if needed


  5. ACCOUNTS RECEIVABLE

    1. UP TO CRM.COM R8.0.0 Number: Select an existing account from the drop-down list 
      AVAILABLE FROM CRM.COM R9.0.0 Name: Select an existing account from the drop-down list (Starting from CRM.COM R9.0.0  the name of the account will be used to identify the account)
      Number or name will be available only if you have selected an existing Contact that already has registered accounts in the system
      OR
    2. REGISTER NEW ACCOUNT
      1. Click on REGISTER NEW ACCOUNT to load the form for creating a new account
        1. Provide Main Information as required
        2. Select Bill Presentment Preferences
        3. Provide Paymnet Preferences
          View Creating Accounts Receivable for more information on creating new accounts

  6. BILLING ADDRESS

    1. If you have selected an existing account then the Billing Address will be Read Only
    2. If you have registered a new account then select the Billing Address of the new account
      1. Selet Address Type
      2. If address details are available for the selected address type then move to Subscription Address
      3. If address details are not available for the selected address type then provide the required information

  7. PARTICIPATING SCHEMES

    1. Click on ADD and select the schemes the participant should participate in
  8. SIGN UP DETAILS

    1. Signed Up by Unit: Search and add the Unit using quick search or search modal

    2. Date Signed Up: Click on the calendar and select a date

  9. ACCESS TOKENS

    1. Click on ADD and select an Access token to relate to the participant
  10. From the Action Menu click on SAVE
  11. LOG INFORMATION

    The following information is automatically set by the system on saving the Rewards Participants

    Log information section keeps all the logging information related to the specific record

    • Basic set of information available in all entities
      • Created By User: The user that created the entity
      • Created By Unit: The unit of the user that created the entity
      • Updated By User: The user that last updated the entity
      • Updated by Unit: The unit of the user that last updated the entity
      • Date Created: The date the account was entity
      • Date Updated: The date the account was last entity
        LOG DETAILS

System Processing

  1. The Rewards Participant will be saved and a number will be generated
  2. A new access token is created depending on the respective settings of the active access tokens definition
  3. A new wallet is created depending on the respective settings of the active wallet definition
    1. If only "On Creating New Accounts Receivable" has been enabled then the Wallet will be created once the account has been created
    2. If only "On Using Accounts Receivable in Rewards Participants" has been enabled then the Wallet will be created once the Rewards Participant has been created
    3. If both "On Creating New Accounts Receivable" and "On Using Accounts Receivable in Rewards Participants" have been enabled then the Rewards Participant is related with the specified Accounts Receivable Wallet if exists, otherwise is automatically created and related.
  4. If an existing Accounts Receivable is specified then the rewards participant is related with the specified accounts receivable
  5. If an existing Accounts Receivable is not specified then 
    1. The specified information is used to create a new accounts receivable
    2. If an existing contact information is specified then
      1. The accounts receivable is associated with the specified contact information
    3. Else
      1. The specified information is used to create a new contact information
      2. The accounts receivable is associated with the new contact information
    4. The rewards participant is related with the new accounts receivable
  6. The following sections become available:
    1. Wallet Information
    2. Communications
