What are Formatting Settings?

Formatting Settings are used to define how numbers and dates should be formatted within CRM.COM. Formatting settings are configurable and are available as part of the Admin Settings. Formatting settings are mandatory and if not configured then only super users can access the software.

Formatting Settings attributes 

Name

Description

Number formatting settings
Decimal and Thousands Symbols*

Defines the symbols that will be used to separate decimal and thousand digits. The supported options are the following:

  • Dot Comma, for example 1.000,00
  • Comma Dot, for example 1,000.00
  • Dot, for example 1000.00
  • Comma, for example 1000,00
Number of Decimal Digits*

Defines the number of digits for various numerical fields. The following types of numerical fields are supported:

  • Price rates
  • Quantities
  • VAT percentages
  • Discount percentages
  • Other amounts
Date formatting settings
Date Format*

Defines how date values should be formatted within CRM.COM. The supported options are the following:

  • DD/MM/YYYY
  • MM/DD/YYYY
  • YYYY/MM/DD

where DD is the day, MM the month and YYYY the year

Time Format*

Defines how time values should be formatted within CRM.COM. The supported options are the following:

  • HH:MM:SS
  • HH:MM
Contact Information Formatting Settings AVAILABLE FROM CRM.COM R9
Addresses

Defines a list of formatting rules that should comply when a new or an existing Contact Information Address is edited. Formatting Settings for Contact Information Addresses can only be set for Postal Codes (Postal Code and PO BOX Postal Code) and will be defined per Country. Two validation methods exist which indicate how the validation will be performed; Simple and Advanced. Each validation method has different validation rule settings which become available based on the method's selection:

  • Simple Formatting
    • Minimum and Maximum Number of characters
  • Advanced Formatting
    • Regular expression based on which the postal code will be validated against
Phones

Defines a list of formatting rules that should comply when a new or an existing Contact Information Phone is edited. Only the Phone number will be validated and the allowed format will be defined per Country. Two validation methods exist which indicate how the validation will be performed; Simple and Advanced. Each validation method has different validation rule settings which become available based on the method's selection:

  • Simple Formatting
    • Minimum and Maximum Number of characters
  • Advanced Formatting
    • Regular expression based on which the phone number will be validated against
Demographic Information

Defines a list of formatting rules that should comply when a new or an existing Contact Information Demographics is edited. The information that will be validated is the ID number, Passport number and Social Security number. The formatting settings rules will be validated per country. Two validation methods exist which indicate how the validation will be performed; Simple and Advanced. Each validation method has different validation rule settings which become available  based on the method's selection:

  • Simple Formatting
    • Minimum and Maximum Number of characters
  • Advanced Formatting
    • Regular expression based on which the ID, Passport, Social Security number will be validated against
Company Information

Defines a list of formatting rules that should comply when a new or an existing Contact Information Company profile is edited. The information that will be validated is the Registration number, VAT number and Tax Reference number. The formatting settings rules will be validated per country. Two validation methods exist which indicate how the validation will be performed; Simple and Advanced. Each validation method has different validation rule settings which become available based on the method's selection:

  • Simple Formatting
    • Simple Formatting
  • Advanced Formatting
    • Regular expression based on which the Registration, VAT and Tax Reference number will be validated against

Defining your own Formatting Settings tailored to your company's needs

  1. Navigate to FOUNDATION > PLATFORM > MANAGE ADMIN SETTINGS > SET UP FORMATTING SETTINGS 
  2. Either search for an existing one or from the Top Menu click on NEW
     
  3. NUMBER FORMATTING SETTINGS

    1.  Provide the required information

      1. Decimal and Thousand Symbols: Use the drop down list to select the symbols
      2. Number of Decimal Digits

    1.  Provide the required information

      1. Date Format: Use the drop down list to select Date Format
      2. Time Format: Use the drop down list to select Time Format

      1. ADDRESSES
        Define how postal codes will be formatted withing CRM. COM.
        1. Click on ADD to search and select a Country
        2. Select the Formatting
          1. Simple Formatting
            1. Provide minimum and/or maximum characters
          2. Advanced Formatting
            1. Provide a regular expression
      2. PHONES
        Define how phone number will be formatted withing CRM. COM.
        1. Click on ADD to search and select a Country
        2. Select the Formatting
          1. Simple Formatting
            1. Provide minimum and/or maximum characters
          2. Advanced Formatting
            1. Provide a regular expression
      3. DEMOGRAPHIC INFORMATION
        Define how demographic information will be formatted withing CRM. COM.
        1. Click on ADD to search and select a Country
        2. Select the Formatting for ID Number, Passport Number and Social Security Number
          1. Simple Formatting
            1. Provide minimum and/or maximum characters
          2. Advanced Formatting
            1. Provide a regular expression
      4. COMPANY INFORMATION
        Define how company information will be formatted withing CRM. COM.
        1. Click on ADD to search and select a Country
        2. Select the Formatting for Registration Number, VAT Number and Tax Reference Number
          1. Simple Formatting
            1. Provide minimum and/or maximum characters
          2. Advanced Formatting
            1. Provide a regular expression

    While configuring Contact information formatting settings, there is the option to select the Advanced Formatting option. This option allows you to provide a regular expression which will specify the pattern that the value must follow in order to be accepted by the system. There are many ways to write a regular expression that will meet specific value formats.

  6. From the Actions Menu click on SAVE
