What does this section cover? 

 

Find out how to modify an existing Wallet

CRM.COM Software does not allow you to manually make any changes to an existing Wallet. Once a wallet is created then a number of other processes will be responsible for updating wallet related information automatically
Read on to find out the processes responsible for updating Wallet related attributes.

Balance

Balance is a dynamically calculated field. It's the sum of all Debit and Credit transactions of the Wallet.

Estimated Consumption Information Wallet balance

This is information related to the consumed amount and remaining time for full consumption of the wallet positive balance

  • Estimated Consumption Days: An estimation on the number of days left until the whole wallet amount will be consumed
  • Estimated Consumption Date: An estimation of the date on which the whole wallet amount will be consumed
  • Estimated Consumption As of Date: The latest date that the estimation was performed

  • Wallet Product Consumption:
    • Estimated Consumption Days:  An estimation on the number of days left until the whole wallet amount allotted for the specified product will be consumed
    • Estimated Consumption Date: An estimation of the date on which the whole wallet amount allotted for the specified product will be consumed
    • Estimated Consumption As of Date: The latest date that the estimation was performed

Life Cycle State can either be set to "Effective" or "Cancelled"

Log Information

Apart from the usual information kept in the Log Information section, for Wallets, information related to creation and cancellation processes is also being kept.

    • Created By Process Name: The process that created the Wallet 
    • Created by Entity Name: The entity that triggered the automatic creation of the Wallet (i.e. Subscription or Accounts Receivable)
    • Created by Entity Value:  The value of the entity that triggered the automatic creation of the Wallet (i.e. Subscription No, Accounts Receivable No)

    • Cancelled by Process Name: The process that cancelled the Wallet 
    • Cancelled by Entity Name: The entity that triggered the automatic cancellation of the Wallet (i.e. Subscription or Accounts Receivable)
    • Cancelled by Entity Value: The value of the entity that triggered the automatic cancellation of the Wallet (i.e. Subscription No, Accounts Receivable No)

Wallet Transactions added on the wallet

Each wallet has its own Wallet Transactions. Go to Wallet Transactions to see how these transactions are created either manually or automatically. Every wallet transaction is also available via its related wallet, however they can only be updated via the Wallet Transactions detail page.

  • Wallet Transactions
    • No: An auto generated number that uniquely identifies each wallet transaction
    • Type: The wallet transaction type, which determines the nature of each wallet transaction, based on the wallet transaction type classification. The supported wallet transaction type classifications are the following:
      • Credit
      • Debit
      • Reimburse
      • Void
    • Amount: The total amount of the wallet transaction
    • Extra Added Amount: The extra added amount that will affect the wallet balance on crediting the wallet. This information is applicable only for credit wallet transactions
    • Voided by Wallet Transaction: If a transaction is voided then the number of responsible transaction will be provided

Find out how to cancel an existing Wallet

CRM.COM Software does not allow you to delete an existing wallet however you are allowed to cancel it. As with creating a new wallet you have the option to either manually or automatically cancel wallets. Automatically cancelling wallets can be done in the 2 following instances 

Cancellation process will set life cycle state to " Cancelled". However, cancelling a wallet might trigger additional wallet processes, based on the the settings specified in Wallet Definition

 

Cancelling a Wallet Manually

Follow the steps below in order to delete an existing Wallet of 

  1. Login using your username and password
  2. Navigate to Finance Application > Wallets
  3. Click on Manage Wallets
    The Wallet summary screen is displayed
  4. Search for the Wallet you want to cancel.
    For a description on Searching Wallet go to Viewing Wallets - R5&R6
  5. Click on the Wallet you want to cancel
    The detail page of the selected wallet will be displayed
    1. Make sure that the Wallet you want to cancel:
      1. Is not related to any Non Terminated Prepaid Subscription
      2. Its life cycle state 
  6. Click on Actions > Cancel Wallet found on the top menu

    The Wallet will be cancelled, given that the validations are successfully passed

Cancelling a Wallet on terminating an Accounts Receivable

As stated above, via the Wallet Definitions the system can be configured to automatically cancel a wallet when the related accounts receivable is terminated. Once the wallet is cancelled the following information will be logged in the system

  • Cancelled by Process name: "Terminate Accounts Receivable"
  • Cancelled by Entity name: "Accounts Receivable"
  • Cancelled by Entity value: The ID/No of the accounts receivable

Cancelling a Wallet on terminating the last prepaid subscription related with a Wallet

Via the Wallet Definitions the system can also be configured to automatically cancel a wallet on terminating the last prepaid Subscription related with the wallet. Once the wallet is cancelled the following information will be logged in the system

  • Cancelled by Process name: "Terminate Subscription"   
  • Cancelled  by Entity name: "Subscription Action" 
  • Cancelled by Entity value: The No of the subscription action
