Explaining Resource Requests Fields 

Name

Description

Number

A number which is generated automatically and is used to identify the Resource Request

Requested by Unit

The Unit that is requesting the Resource

Requested by User

The User that is requesting the Resource

Requested Unit*

The Unit that is requested as a Resource

Number of resources*

The number of required resources

Description

A description of the Resource Request

Requested One Time Service*

The one time service that the requested resource should provide
Equal to the Activity Service for which the requested resource should be provided for 

Activity

The Activity for which the requested resource should be provided for

From*

The start time and date of the period for which the Resource is Requested to be available
Set once a resource request is saved. 
If more than one slots are selected then the From is set to the Min From Date/Time of all selected Slots. i.e.,

Selected Slots :

01.12.2014 08:00-09:00

01.12.2014 09:00-10:00

From = 01.12.2014 08:00 

To*

The end time and date of the period for which the Resource is Requested to be available

Set once a resource request is saved. 
If more than one slots are selected then the To is set to the Max To Date/Time of all selected Slots. i.e.,

Selected Slots :

01.12.2014 08:00-09:00

01.12.2014 09:00-10:00

To = 01.12.2014 10:00 

Life Cycle State*

Determines the state of the Resource Request which can be one of the following:

  • Pending
  • Accepted
  • Rejected
  • Cancelled

Requested Resource Plan Entry

The Resource Availability record which was requested for this Resource Request, in the case were the Resource Request was accepted.
Available on screen for requests that have never been accepted 

Reserved Resource Plan Entry

The Resource Availability record which was reserved for this Resource Request, in the case were the Resource Request was accepted.
Available on screen for requests that have already been accepted

Creating a Resource Request

  1. Search using the criteria available in the summary page
  2. From the top menu click on NEW to open the Resource Requests data entry page
  3. MAIN INFORMATION

    1. The following information, except Description, is automatically loaded based on the logged in user's characteristics:
      1. Requested By Unit
      2. Requested By User
      3. Life Cycle State
      4. Description

  4. REQUEST INFORMATION

    1. REQUESTED RESOURCES

      1. Provide the required information:

        1. Unit
        2. Number of Resources

    2. REQUESTED ONE TIME SERVICE

      1. Provide the required information:

        1. Activity
        2. Service (for Activity)
        3. Job
        4. Service (for Job)
        5. From: to be loaded once the resources are selected through the Resource Request Plan
        6. Toto be loaded once the resources are selected through the Resource Request Plan

  5. REQUEST PLAN ENTRY INFORMATION

    1. Click on AVAILABLE ENTRIES to search for and select available resources
    2. Provide or Edit the required information:
      1. Requested Unit
      2. Number of Resources
      3. From Date / Hour / Minute
      4. To Date / Hour / Minute
    3. Click on SEARCH
      1. The system will take the following into account, and search for all available resources, that meet the criteria:
        1. Requested Unit 
        2. Service
        3. From Date
        4. To Date
      2. Available resources will be displayed in the SEARCH RESULTS section providing the following information:
        1. Resource Plan Entry Number
        2. Unit
        3. Unit Description
        4. Date
        5. From 
        6. To
        7. Planned Resources: The number of resources defined on creating the plan 
        8. Available Resources: The number of resources that have not yet been booked

          If the Planned Resources < Available Resources it means that Overbooking Percentage has been set to be greater than 0 % and (most likely) no resources have yet been delegated

          If the Planned Resources > Available Resources it means that some resources have already been delegated and thus removed from the available resources

    4. Select the Resource Plan Entries and click on SELECT

      You cannot book resources from 2 different entries, i.e., 2 different days, however you can book as many slots as you like from the same entry (day), but that will be greater or equal to the Minimum Duration, and less than or equal to the Maximum Duration set on the Service when Creating a Resource Plan


  6. From the Action Menu click on SAVE

  7. LOG INFORMATION

    The following information is automatically set by the system on saving the Resource Requests

    Log information section keeps all the logging information related to the specific record

    • Basic set of information available in all entities
      • Created By User: The user that created the entity
      • Created By Unit: The unit of the user that created the entity
      • Updated By User: The user that last updated the entity
      • Updated by Unit: The unit of the user that last updated the entity
      • Date Created: The date the account was entity
      • Date Updated: The date the account was last entity
        LOG DETAILS

System Processing

On submitting the request, a resource request is created. The applicable Life Cycle States of the request are:

  • Pending: This means that the resource is requested but not delegated, i.e., does not affect Resource Availability
    Confirmation is required for new requests 
  • Accepted: This means that the resource requested is also delegated on the specific activity, i.e., Affects the Resource Availability
    No confirmation is required for new requests 

The Life Cycle State to be set on the requests is based on the Configuration of Resource Scheduling where you can select to require confirmation or not.

If confirmation is not required then the submitted resource request is automatically Accepted. In that case the requested resource plan entry is automatically reserved. 
If confirmation is required then the submitted resource request is set to Pending.  Manual processes exist to accept, reject or cancel submitted Resource Requests.
