When to use Swap Services

Swap Use Swap Subscription Services is an action used to allow subscribers to switch to a different package from what they currently have. Swapping can be categorized to the following 3 typesto change an existing Subscription Termed Service to a different one. There are three available Swapping Types:

  • Upgrade (Swapping to a more expensive package)
  • Downgrade (Swapping to a cheaper package)
  • Switch (Swapping to a package of the same price)

The decision as to which Swap type is being executed is taken by the system. You do not need to be aware of what type of swap you are making, however the system will distinguish between them on submitting the action. The decision as to what type of swap it is, is taken based on the Tiers.

Tiers are configured in the Subscription Definitions where you can define to which Tier each provisioning subscription service belongs to. 

Rules may be configured in the system related to when and if the Service swap is to be allowed via the Billing Term Definitions. Differentiation to the rules may be applied on 3 different occasionsSystem distinguishes between Swap Types on submitting the Action without the need of user assistance. If a Classification (Type of Swap) is selected by the agent, then available Services will be filtered based on that Type. 
Tiers determine the filtering and choice if Swap Types.  The Tier of each provisioning Subscription Service is defined and configured in the Subscription Definitions.

Further flexibility is offered by allowing differentiation on the rules between:

  • Mandatory Services
  • Optional Services

 You have the option to preview upcoming subscriber bills/rates, directly from the subscription action modal window. You can use the process for both Normal and Prepaid Subscriptions. 

Rules can be differentiated further, offering greater flexibility, for:

  • Mandatory Services
  • Optional Services

If there are Tiers in the Subscription Definitions following other Tiers, then when selecting a Mandatory Service belonging to a leading Tier to switch to, only Optional Subscription Services (if any) following the same Tier will be displayed.

For example, in the table below, if the Mandatory Service on the Subscription is Platinum and the Optional Service is Movies 1, when selecting to switch to Silver the only available Optional Service to swap to is Movies 3.

  • 'Active' Accounts Receivable.
  • Active Subscription Definition rules are observed.
    • Subscription restrictions are observed.
    • Subscription Service restrictions and dependencies are observed.
    • The restrictions and dependencies set by each Distributor on Subscription Services are observed. 
    • Subscription Installed Item restrictions and dependencies are observed.
    • The restrictions and dependencies set by each Distributor on Subscription Installed Items are observed. 
  • Active Billing Term Definition rules are observed.
    • Service Swap rules are observed.
  • The available Services to swap to are the ones that belong to:
    • Allowed Services of the Subscription Type.
    • Allowed Services of the Prepaid or Normal Billing Term Scheme.
    • Allowed Services of the Provisioning Distributor.
  • The available Services to swap to follow the Tier rules specified in the 'Active' Subscription Definitions
  • The Action is available only if the Subscription Service is in one of the following Life Cycle States:
    • Draft
    • Effective
    • Not Effective

Executing Swap Services

  • Navigate to BILLING APPLICATION > BILLING > SUBSCRIPTIONS > MANAGE SUBSCRIPTIONS
  • Search for the Subscription you are looking for, using the criteria section
  • Click on the Subscription number to go to the Data Entry page of the subscription
  • On the left hand side of the screen you can see the ACTION PANEL
  • Click on Subscription Service Related Actions
  • Find the action you would like to execute and click on the link to open the action details in a modal window

  • Action Type: Select action type from the drop down if you have configured custom actions in the system, using the specific behaviour code
  • Sub Action Type: Select action type from the drop down if you have configured custom actions in the system, using the specific business classification code
    Action Type and Sub Action type are visible only if applicable
  • Performed By User : Search and add the user that logs the action 
    If you leave empty then the Logged in user will be set
  • Performed Date: Click on the calendar icon and select date and time

    Action will be validated as provided in the section above and submitted if validations are passed

    Once the action is submitted the following changes will be carried out by the system:

  • Adds specified subscription services
  • Adds related provisioning distributors, if they do not already exists
  • Distributes the specified subscription services to their related provisioning distributors
  • Removes specified services
  • Removes the distribution related to the specified services
  • Swaps subscription services having a dependency with the swapped subscription services as specified in subscription service tiers.
  • If the business behavior code was not specified, then it sets it, by comparing the subscription service to be replaced and subscription service to be replaced by against the subscription service tiers, as specified on the active subscription definitions
  • Sets the subscription life cycle state of the added service equal to the life cycle state of the removed one
    • If removed service’s state is draft then the added service’s state is set to draft
    • If removed service’s state is not effective then the added service’s state is set to not effective
    • If removed service’s state is expired then the added service’s state is set to expired
    • If removed service’s state is Effective then the added service’s state is set to effective and the effective date is set equal to the execution date (if not specified)
  • Sets the subscription life cycle state of the removed service to swapped, close the initial life cycle state period of the swapped service and created a new one that shows the swapped period.
  • Creates a new subscription service life cycle state history for the new service and sets the starting date of the period as the action’s scheduled date and the corresponding life cycle state.
  • Billable period start date and billing effective dates are set based on billing term scheme
  • Billing directive is set based on the additional billing directions specified on the active billing term definitions
    1. ANY: With this option the system will decide automatically which classification the swapping is for
    2. DOWNGRADE SERVICE: The system will filter New Services and will only make available the services you can downgrade to
    3. SWITCH SERVICE: The system will filter New Services and will only make available the services you can switch to
    4. UPGRADE SERVICE: The system will filter New Services and will only make available the services you can upgrade to
  • MANDATORY SERVICES

    1. New Service: Select the service you want to Swap to, from the drop down list

  • SUBSCRIPTION ACTION DETAILS

    • The new Subscription Services are added together with the related Provisioning Distributors, if not already there.
    • The removed Subscription Services are removed together with their distribution.
    • The Life Cycle State of the added Service is set equal to the Life Cycle State of the removed one.
    • The Life Cycle State of the removed Service is set to 'Swapped', and the initial Life Cycle State Period is 'Closed'.
    • The following is set to the Subscription Services according to Business Rules
      • Billable Start Period (Billing Term Scheme)
      • Billing Effective Date (Billing Term Scheme)
      • Billing Directives (Billing Term Definition).
