Navigating to Subscriptions

 BILLING > SUBSCRIPTIONS > MANAGE SUBSCRIPTIONS

Using Subscriptions

  • Navigate to Subscriptions and explore entries via the Summary page
  • Click on the link (Name or Number) of the entry of your interest to enter the Data Entry page and see more detail. 
  • Use the Actions Menu to open the Become Subscriber modal and create a NEW Subscription .
  • Use BACK to return to the Summary page and CANCEL to revert any unwanted changes made to the Subscriptions. 
  • Click on ACTIONS to discover other possibilities available for Subscriptions.
  • Click on a Subscription Action in the Action Panel, to perform the required changes to the Subscription, Subscription Services or Subscription Installed Items.
  • Click on VIEW HISTORY to see all the information (current, past and future) related to the Subscription, such as its Services, Installed Items, Additive Discounts, Buy in Advance Requests and many more.
  • Click on VIEW ALL ACTIONS to see all Subscription Actions available to all Subscriptions (not only to the displayed one). View Scheduling Subscription Actions for more information.
  • Click on the Audit Log button to view a log of changes performed on the displayed Subscription.

Accounts ReceivableThe account that will be charged during billing.

Billing AddressesThe Billing Address on the selected Accounts Receivable.
Subscription Addresses
Subscription Addresses

The Subscriber’s physical address (also referred to as the Subscription Location) at which the Installed Items are located and the subscribed Services are received. The Subscription Location is associated with one of the Subscriber’s (Accounts Receivable owner) contact addresses. 

Subscription Terms
Subscription Terms

The terms that are applied to the Subscription which includes the following:

  • Subscription Type: The type of the Subscription which determines the available Services.
  • Billing Term Scheme: The Scheme that defines the business/billing rules the Subscription abides to.
  • /wiki/spaces/WIP/pages/10008532: The Price Plan from which the Subscription will be billed.
  • Billing Frequency: The frequency with which the Subscription will be billed.
  • Binding Period
    • Binding Start Date: The date on which the binding period begins.
    • Binding End Date: The date on which the binding period ends.
  • Effective Date: The date on which the Subscription was initially set from 'Draft' to 'Effective'.
  • Agreement date: The date on which the contract was signed
  • Life Cycle State: The state of the Subscription which determines whether the Subscription Services should be charged or not. This information is dynamically calculated based on the information which is listed in the Subscription Life Cycle State History.
  • Allowed Cycle Day: Used to specify the day of the month up to which a Subscription should be billed. Billing Cycle Day is set automatically, based on the Billing Term Scheme Configuration, provided the billing method is Period Billing. If the billing method is Anniversary then the Billing Cycle Day is set manually based on the agreement that was made with the Subscriber.
    AVAILABLE FROM CRM.COM R12.0.0 If the Billing Method is Anniversary and the Billing Term Scheme defines automation on how the Anniversary Day is set, then the Billing Term's Billing Cycle Day is automatically set according to the Billing Term Scheme's Billing Rules and based on the day that the Subscription Action is performed. If the Billing Cycle Day is specified on the last day of the month then the Subscription will always be billed up until the last day of each month.
  • Concurrent Usage: Concurrent Usage-based pricing is used to apply price plan rates based on the number of concurrent Usage of the Services or the Installed Items that will be billed, and a rate percentage which is agreed between the customer and the company providing those Services. Concurrent Usage-based pricing consist of the following:
    • Concurrent Usage: Defines the concurrent Usage of Services which will be billed based on the specified Billing Terms
    • Rate Percentage: Defines the percentage rate that should be applied to all Services which will be billed based on the specified Billing Terms
      • The final rate is calculated based on the following formula: Price Plan Rate * Number of concurrent Usage * Rate percentage amount / 100
        Concurrent Usage-based pricing can be used only if it is supported by the related Billing Term Scheme. In that case, both attributes are mandatory.
  • First Activated On: The date on which the Subscription became 'Effective' for the first time.
    This information is set only once.
  • Rating State: It defines whether the Subscription was processed by the rating engine or not. The available rating states are the following:
    • PENDING: The Subscription is not rated yet or future ratings are still pending (i.e. the Subscription is still billable).
    • COMPLETED: The Subscription was fully rated and is no longer billable or creditable (i.e. it was regretted, swapped, removed or cancelled).
Subscription Services
Subscription Services

The Services provided to the Subscriber which can optionally be distributed to one or more provisioning distributors.

Only Termed, Usage and Expense Services are allowed to be added as Subscription Services.

The Services included in a Product Bundle.
First Activated On

The (dynamically calculated) date on which the Service was first modified from 'Draft' to 'Effective'.

Rating State

Defines whether or not the Subscription Service was processed by the rating engine or not. The available rating states are the following:

  • PENDING: The Subscription Service is not rated yet or future ratings are still pending (i.e. the Subscription Service is still billable).
  • COMPLETED: The Subscription Service was fully rated and is no longer billable or creditable (i.e. it was regretted, swapped, removed or cancelled).
Rated Up ToThe date up to which the Subscription has already been billed.
Prepayment State
AVAILABLE FROM CRM.COM R10.0.0 

Defines the state of the Subscription Service in relation to Prepaid Billing. The following options are supported:

  • Not Applicable: Used when the Subscription does not follow a Prepaid Billing Term Scheme
  • Valid: Used when the Subscription follows a Prepaid Billing Term Scheme and the Services was rated properly by the Prepaid Billing Run process
  • Invalid: Used when the Subscription follows a Prepaid Billing Term Scheme and the Services was not rated by the Prepaid Billing Run process due to limited Wallet funds.
Last Date of Prepayment State Calculation
AVAILABLE FROM CRM.COM R10.0.0 
Defines the last date on which the Prepayment State was calculated.
Life Cycle StateThe state of the Subscription Service during the specific period of time.
Life Cycle State History

A link that provides information on the Service.

Started OnThe date on which the period started
Ended On The date on which the period ended
Billing Directive

Determines how each period should be processed by the Billing Engine. The supported Billing Directives are the following:

  • To be billed: The period should be considered by the Billing Engine in order to be billed.
  • To be credited: The period should be considered by the Billing Engine in order to be credited.
  • Not to be billed: The period should never be considered, rated or billed by the Billing Engine.
Billing Effective DateThe date on which a Service starts being billed.
Billable Period Start DateDetermines the start date of the billable period of each Subscription Service. For example, if a Service is effective from the 1st of June but the Billable Start Date is the 1st of August, then the Billing Engine will only start considering the Service from the 1st of August.
Started by Subscription ActionThe Subscription Action that started the period.
Ended By Subscription ActionThe Subscription Action that ended the period. This is mandatory if the period is already closed.

Rated up to

Defines the date up to which the Subscription Service Life Cycle State History was rated.

Rating State

Defines whether the Subscription Service Life Cycle State History was processed by the rating engine or not. The available rating states are the following:
  • PENDING: The Subscription Service Life Cycle State is not yet rated or was rated but not for the whole period it covers.
  • COMPLETED: The Subscription Service Life Cycle State was rated for the whole period it covers.
Subscription Installed Items

The Installed Items provided to the Subscriber which can optionally be distributed to one or more provisioning distributors.

Name

Description

Physical GoodThe Physical Good Product.
Serial NumberThe serial number used to identify the Installed Item.
Note that the Alternative code and not the Serial number is sent to Provisioning Providers.

Ownership Status

Determines whether or not the Installed Item is owned by the company or the customer, based on the applied business transactions. This Information is calculated dynamically. The supported values are the following:

  • Sold to Customer: The Installed Item was sold to the customer and is owned by the customer.
  • Rented to Customer: The Installed Item was rented to the customer and is owned by the company.

Components

If the Installed Item is a Product Bundle then the components will display the traceable and non-traceable Physical Goods included in the Product.

DistributorsThe distributors from whom the Installed Item is available.
The Installed Item can be distributed to multiple distributors from different providers. 
Communications
CommunicationsDisplays all Communications which have the Subscription in the 'Referring To' Entities.
Activities
ActivitiesDisplays all Activities which are associated with the Subscription.
Log Information
Log Information

The standard set of Log Details information available in all entities.

Owned By Group

The Group that owns the Subscription which will automatically default to the Group of the signed in User or will be automatically set based on the geographical area of the contact as defined in Groups.
Privacy LevelThe Privacy Level of the Subscription. 
It is always Read-only and can be changed through a dedicated action or it is automatically set by the Privacy Level Assignment Rules (PLAR).
Shared NotesNotes for the entry. Each time the notes are amended, the User and the date are logged.

 

Subscription History

Subscription History provides all of the Subscription's information since it was first created, divided to semantic sections to make the wanted information easy to find

  1. Navigate to Subscriptions.
  2. Click on View History, available under Subscription Actions.
  3. Subscription History will open in a Modal window.

Applied Adhoc Discounts

A list of  Adhoc Discounts that have been applied to the Subscription.

Buy In Advance Requests

A list of Buy In Advance Requests that have been applied to the Subscription.

Grace Periods

A list of grace periods that have been applied to the Subscription.

Resting Periods

A list of resting periods that have been applied to the Subscription Life Cycle State History.

LifeCycle State History

A list of all the Life Cycle States that the Subscription has changed to, since its creation date.

Services History
Provides an overview of the Subscription Services from the creation of the Subscription until the current date. 

ExistingThe Services added and currently available on the Subscription.
RemovedThe Services that have been removed from the Subscription and the date on which each Service was removed.
SwappedThe Services that have been swapped from the Subscription, the date on which each Service was swapped and the Service which replaced it.
To be AddedThe Services that are scheduled to be added to the Subscription and the scheduled date for the addition.
To be RemovedThe Services that are scheduled to be removed from the Subscription and the scheduled date for the removal.
To be SwappedThe Services that are scheduled to be swapped from the Subscription, the Services which will replace them and the scheduled date for the swap.
UsageThe Usage Services added on the Subscription via Add Service Usage.
ExpensesThe Expenses added on the Subscription and information on their Billing and cancellation.

Installed Item History

Provides an overview of the Subscription's Installed Items from the creation Subscription until the current date. 

Existing

The Installed Items added and currently available on the Subscription.

RemovedThe Installed Items that have been removed from the Subscription and the date on which each Installed Item was removed.
SwappedThe Installed Items that have been swapped from the Subscription, the date on which each Item was swapped and the Installed Item which replace it.

Provisioning Distribution History
Provides an overview of the Subscription's provisioning distributions from its creation until the current date, displaying which distributors provision each Service or (Installed) Item. 

Use the Service Authorisation Field to determine whether the Service is also 'Active' in the Provider.

Use the Installed Item Initialisation Field to determine whether the Installed Item has been registered with the Provider.

 

Existing Service Distribution

The Service distributions currently active on the Subscription. Provides information on the Provider, the date on which the distribution was created and whether it is authorised.
Removed Service Distribution

The Service distributions that have been removed from the Subscription. Provides information on the Provider, the date on which the distribution was removed and whether authorisation has already been cancelled.

Existing Installed Item Distribution

The Installed Item distributions currently active on the Subscription. Provides information on the Provider, the date on which the distribution was created and whether it has been initialized from the Provider.

Removed Installed Item Distribution

The  Installed Item distributions that have been removed from the Subscription. Provides information on the Provider, the date on which the distribution was removed and whether initialization has already been cancelled.

Subscription Actions History

Subscription Actions are used to manage Subscriptions throughout their Life Cycle. The information available in this section provides a thorough overview of present, past, future and cancelled Subscription Actions.

Through this section scheduled Actions can be Amended or Cancelled. Find out more on managing scheduled Actions from Scheduling Subscription Actions.

Scheduled

A list of Scheduled Actions, including information on the date each Action was scheduled, the User that scheduled it and the option to view the Action in more detail, cancel or amend it.

ExecutedA list of Executed Actions, including information on the date each Action was executed, the User that executed it and the option to view the Action in more detail.

Cancelled

A list of Scheduled Actions that were cancelled, including information on the date in which each Action was cancelled, the User that cancelled it and the option to view the Action in more detail.

 

Additional Actions for Subscriptions

Subscriptions are managed through Subscription Actions which are available through the Action Panel. Updating general Subscription information such as Privacy Level, Owned By Group, Shared Notes, is done through dedicated commands available under Actions in the Actions Menu.

  1. Navigate to Subscriptions.
  2. Search for the Subscription to update and click on its Number to enter the Data Entry Page.
  3. From the Actions Menu click on Actions and select:
    1. SET PRIVACY LEVEL
    2. EDIT SHARED NOTES
    3. EDIT OWNER GROUP
  4. The respective modal will open; fill out the required information and click on Save,  to save your changes.

Using the Subscription Action Modal 

When a Subscription Action is clicked the respective modal is opened. The modal is separated in three semantic areas, described below.

Selection Action Area

The selection action area is the area on the left. Any amendments allowed by the Subscription Action are available for selection in this area.

  • If the Selected Subscription Action has multiple Classifications then the respective classification should be selected before any changes are performed.

Preview Area

The Preview Area is located at the top right of the modal, under Preview & Action Panel. It displays the changes to be performed on the Subscription once the Action is submitted.

  • Different information is displayed according to the Subscription Action.

Subscription Action Detail Area

The Subscription Action Detail Area is located at the bottom right of the modal, under Preview and Action Panel, and displays information regarding the execution of the Action.

  • If there are Subscription Action Types and Subscription Action Sub-Types for this Action configured in the System, then the respective one must be selected before submitting the Action.
  • Performed By User : Search and provide the User that performed the Action.  If left empty then the Logged in User will be selected automatically.
  • Performed Date: Click on the calendar icon and select the date and time. This is the date on which the Action is performed.

    If the Subscription Action is related to the ACTIVATION of a Service, then the Performed Date can be set to a date in the past and Billing for the Service(s) will start based on that date. The Performed date which can be in the past must be after the date on which the Service was added on the Subscription in a 'Draft' state.

  • Scheduling Information:
    1. NOW: Select Now to execute the action immediately
    2. ON A SPECIFIC DATE
      1. Click on the calendar icon and select a date
      2. Use the time scroller and select time or leave as is to set at midnight
      3. Click on DONE
        The date field is mandatory and the date must be greater than the current date

    3. AFTER A NO. OF DAYS
      1. Enter the value of days based on your business requirements. For example, add 7 days 
        The number field is mandatory and the specified value must be an integer and greater than 0.

     
  • Preview Rates: The link is only available for specific Subscription Actions. The process is used while creating a new Subscription or modifying an existing one but before submitting the actual request, in order to calculate rates that will be applied to billing a Subscription.  The process is available for both Normal and Prepaid Subscriptions.
