What is Conditional Security Restrictions

CRM.COM software allows you to set Conditional Security Restrictions (CSR) that provide the ability to restrict features of the system including data entry pages fields, based on conditions, which can be applied on specific organizational units. CSR restrictions are also applicable in all Web API calls. 

You can define restrictions to the following system entity types:

  • Fields
  • Processes
  • Printouts

Depending on the type of the entity then different restrictions may be applied:

  • Multiple CSR restrictions can be defined in the system as long as they have a unique name.

Conditional Security Restrictions attributes 

Name

Description

Name*The name of the CSR
Entity*The entity that the CSR will be applied on
State* The state of the CSR which can be active or inactive
DescriptionA description of the CSR
Restrictions*A list of all areas related with the selected entity that can be restricted, which includes the following:
  • Fields: The restrictions that can be applied on fields are the following
    • Set them as not visible
    • Set them as not editable
    • Set them as mandatory
  • Processes: The restrictions that can be applied on processes are the following
    • Set them as not applicable
  • Printouts: The restrictions that can be applied on printouts are the following
    • Set them as not visible
Entity Conditions

The set of entity related conditions which includes the following:

  • Entity Type
  • Privacy Level
  • Life Cycle State
  • Status
Organisational Conditions

A set of the organisational units for which the CSR is valid for

Defining your own Conditional Security Restrictions tailored to your company's needs

  1. Navigate to FOUNDATION > SECURITY MANAGEMENT > SET UP CONDITIONAL SECURITY RESTRICTIONS
  2. Search for the Conditional Security Restriction or click on NEW to create a New one
  3. MAIN INFORMATION

    1. Provide the required information
      1. Name
      2. Entity: The entity that the CSR will be applied on 
      3. State
      4. Description

  4. RESTRICTIONS

    1. FIELDS

      1. Click on ADD and provide the required information
        1. Select a Field
        2. Set them as not visible by removing the check that is automatically added under Visible column when adding a field

        3. Set them as mandatory by adding a check under the Mandatory column once you add a field

        4. Set them as not editable by removing the check that is automatically added under Editable column when adding a field

          Note that you can select either a tab or attributes within a tab. For example you can either select Addresses or you can select Addresses/Area. On selecting the whole tab you are defining the restrictions on the top level and not in each item explicitly. 

          Note that by default the system has all fields set as Editable and visible unless stated otherwise in the  CSR

    2. RESTRICTED PROCESSES
      1. Click on ADD and select a Process to be restricted

    3. RESTRICTED PRINTOUTS

      1. Click on ADD and select a Printout to be restricted

  5. CONDITIONS

    1. ENTITY CONDITIONS
      1. Click on ADD and provide the required information
        1. Type
        2. Status
        3. Life Cycle State
        4. Privacy Level

    2. ORGANISATIONAL CONDITIONS
      1. Click on "ADD" and select between
        1. COMMUNITY
        2. GROUP
        3. UNIT
      2. Use the Search modal to select the Organisational unit you would like to add.
      3. You can select any type of Organisational unit according to the restrictions that you would like to set or none at all.

  6. From the Action Menu click on SAVE
  7. LOG INFORMATION

    Log information section keeps all the logging information related to the specific record

    • Basic set of information available in all entities
      • Created By User: The user that created the entity
      • Created By Unit: The unit of the user that created the entity
      • Updated By User: The user that last updated the entity
      • Updated by Unit: The unit of the user that last updated the entity
      • Date Created: The date the account was entity
      • Date Updated: The date the account was last entity
