Explaining Jobs Fields

Name

Description

NumberAn auto generated number that uniquely the job
Job Type*The type of the job
Job terms

The terms that are applied on the job which includes the following:

  • Scheme
  • Price Plan
  • Agreement date

Mandatory on Conditions: Job Terms are visible and mandatory only if the job type is set to billable.

Status*The status of the job
Life cycle state

The life cycle state of the job which can be one of the following:

  • Draft
  • Pending
  • In Progress
  • Completed
  • Cancelled
Accounts receivable *The accounts receivable for which the job is planned for. New and existing accounts receivable can be used. Terminated accounts cannot be selected for new jobs.
DescriptionA description of the job
Shared notesShared notes for the job
Key dates*

The key dates of the job which include the following:

  • Start date: Defaults to the date that the job is created, although is editable
  • Estimate completion time: Defaults to the estimated completion time as set on the related job type, although is editable, measured in minutes, hours, days, weeks, years. It is the difference between the start date and expected completion date and is updated automatically whenever the expected closing date is modified.
  • Expected completion date: The date that the job is expected to be completed and it equals to the start date plus the estimated completion time. It is calculated automatically when the estimated completion time is set or modified, although it can manually be set.
  • Actual completed date: The date that the job is actually completed. The actual completed date is read only and is set automatically on completing the job i.e. on setting the job on a status which is mapped on the completed life cycle state
  • Time to completion: The time that is left up to the expected completion date
  • Time overdue: The time past the expected completion date. this information is calculated dynamically, based on the expected completion date and the date of execution, if the job is not completed yet and is past the expected completion date.
Job locationJob Location is the physical location that the job should be performed and delivered to.
Assigned to*

The assignment information for the job, since it is an Assignable Entity.

Owned by group*The group owing the job, since it is an Explicit Viewing Access Entity
Privacy levelThe privacy level of job, since it is an Explicit Viewing Access Entity

Related Subscription

 

The subscription that was created or modified as part of the job

Contact Email

 

The email of the customer that the job is created for and all communications will be sent. The emails that are retrieved are those related with the specified customer. The selected email can also be edited, although that change will not be reflected on the contact information.

If no email is defied then communications with Email Media will not be created

Contact Phone

 

The phone of the customer that the job is created for and all communications will be sent. The phones that are retrieved are those related with the specified customer. The selected phone can also be edited, although that change will not be reflected on the contact information.

If no phone is defied then communications with SMS Media will not be created

Requested Subscription Type

The subscription type that was requested by the customer.

Mandatory on Conditions: This information is applicable and mandatory only if the job type fulfilment method is set to New Subscription. In that case the subscription type is set automatically based on the subscription type defined on the related job type

Requested Billing Terms

The billing terms that were requested by the customer.

Mandatory on Conditions: This information is applicable and mandatory only if the job type fulfilment method is set to New Subscription. In that case the billing term scheme is set automatically based on the billing term scheme defined on the related job type, and cannot be edited, while the rest of the information are provided by the user

Requested Subscription Services

A list of services that were requested by the customer and should be provided as part of the subscription that will be delivered.

Mandatory on Conditions: This information is applicable and mandatory only if the job type fulfilment method is set to New Subscription. The subscription services are filtered based on the specified subscription type and billing term scheme. All the subscription related rules and restrictions are applicable on the requested subscription services as well

Requested Subscription Physical Goods

A list of physical goods (products only) that were requested by the customer and should be provided as part of the subscription that will be delivered.

Mandatory on Conditions: This information is applicable and mandatory only if the job type fulfilment method is set to New Subscription. The subscription physical goods are filtered based on the specified subscription type. All the subscription related rules and restrictions are applicable on the requested subscription physical goods as well

Requested Activity Services

A list of one time services that are requested by the customer and should be delivered by a scheduling and performing a specific activity. The requested activity services are defined by specifying the type of the activity and the activity services that should be performed. The activity types are filtered based on the selected job type. The activity services are filtered based on the selected activity type. Mandatory activity types and services are added automatically.

Requested Physical Goods

A list of physical goods (products only) that are requested by the customer and should be delivered as part of fulfilling the ordered job. The requested physical goods are filtered based on the selected job type. Mandatory physical goods are added automatically

Requested Expenses

A list of requested expenses that are requested by the customer and should be delivered as part of fulfilling the ordered job. The requested expenses are filtered based on the selected job type. Mandatory expenses are added automatically. Only products classified as expense services can be added in this list
Physical goodsThe physical goods that are provided as part of the job, which can be traceable or not traceable, which should also be included in the list of the allowed physical goods as specified in the related job type. In the case of non traceable physical goods then specifying the quantity of each physical good is needed. All physical goods have a billing directive, which is always set to "to be billed" if the job type is classified as billable. Physical goods are optional, although they should be added, if they are defined as mandatory in the related job type.
ExpensesA list of services which are applied on the job as expenses, which should also be included in the list of the allowed expenses as specified in the related job type. Expenses have a billing directive, which is always set to "to be billed" if the job type is classified as billable. Physical goods are optional, although they should be added, if they are defined as mandatory in the related job type.
Activities

A set of activities which are planned for the specific job, sorted by their life cycle state. New activities can be planned for each job. The activity types which are allowed to be used are controlled by the related job type. Activities of specific type can be mandatory for a job, if they are classified as mandatory in the related job type. On completing the job, the system validates that all related activities are completed and that all mandatory activities were performed.

Billing information

A set of bills that were generated by the billing engine in relation to the specific job. Billing information is mandatory only if the job type is set to billable.

Creating Jobs

CRM.COM uses Jobs to complete small projects. Jobs are directly related with Activities that may be used as sub-tasks in order to complete the project.

Jobs are especially useful when you would like to bill physical goods and one off fees. One off fees can either be billed with a fixed amount (when added directly on the job) or based on the duration (when added and billed via a related activity).  

There are 7 types of tasks/projects that can be completed by Jobs:

  • Subscription Ordering

    This type of Job is used to place an order for a new subscription, including all the requested physical goods, subscription services, any additional expenses, installation services etc. which will then automatically create the requested Subscription.

  • Generic Purpose

    This type of Job is used to create any type of small project (not restricted to subscriptions) and allows you to add physical goods, any additional expenses, services etc.

  • Managing Subscriptions

    These types of Job are used to order various actions related to subscriptions via a job which will then automatically update the requested Subscription. The following type of jobs are available:
    • Subscription Activation Jobs

    • Subscription Cancellation Jobs

    • Subscription Services Addition Jobs

    • Subscription Services Cancellation Jobs

    • Change Subscription Location Jobs
