What is Bill Details Printout?

Bill Details Printout displays all the information of a bill. The printout is available through the Bills data entry page.

Header Information of Bill Details Printout

The following information can be found at the top of the printout.

Name
Description
NameThe account owner's Full name
Account NumberThe Accounts Receivable number for which the Bill was issued
Billing AddressThe account owner's address as this is specified as the billing address of the accounts receivale
Issue DateThe date on which the Bill was issued
Due DateThe date until which the account owner should settle the bill
Billed PeriodThe period for which the accounts receivable was billed (from/to dates)

Detailed Information of Bill Details Printout

The following information is the information provided within the printout. If multiple records exist within the printout, then the following information is available for every record

Items

The product for which the account owner is billed

NumberThe number of the financial transaction included in the bill
From DateThe date from which the account owner was billed (applies only for termed services)
To DateThe date until which the account owner was billed (applies only for termed services)
QuantityThe number of movies/events the account owner watched for the specified period of time
Net AmountThe net amount of the service for the specified period of time
VAT AmountThe VAT amount of the service for the specified period of time
Discount AmountThe discount amount given to the service for the specified period of time
Sub-TotalThe total amount that a service was billed for the specified period of time

Summary Information of Bills Details Printout

The following information can be found at the bottom of the printout

Total Billed Amount (without VAT)The total Net amount that the account owner was billed for the specified period of time
VAT AmountThe total Net amount that the account owner was billed for the specified period of time
Total Billed AmountThe total amount of the bill  for the specified period of time

Previous Bill Unpaid Amount

AVAILABLE UP TO CRM.COM R8.0.0 - DEPRECATED FOR CRM.COM R9.0.0

The previous bill's unpaid amount.

Balance brought forward

AVAILABLE FROM CRM.COM R9.0.0

The account outstanding amount as of date that the bill is created. This amount excludes the bill amount.

The field replaces "Previous bill unpaid amount" available in CRM.COM R8.0.0

Total Amount to be paidThe actual amount that the account owner should pay

Extracting Bills Details Printout

  1. Navigate to BILLING > BILLING > MANAGE BILLS

  2. Search for the Bill that you would like to create a printout for

  3. Click on the number/name of the record you would like to access, to go to the Data Entry page

  4. From the Action Menu click on PRINTOUTS

  5. Select any of the available formats to extract the printout out of the following:

    1. PDF
    2. HTML
    3. XLS
    4. CSV
    5. RTF
    The format having the asterisk next to it, denotes the format which the printout will be extracted in.

  6. From the Action Menu click on PRINTOUTS > Bill Details
    The printout is extracted and downloaded with the specified format.

Creating and Sending Bill Details Printout

Sending Bill Details via Email

  1. While in the Data Entry page of the entity click on PRINTOUTS > SEND VIA EMAIL from the Action Menu click 
    SENDING PRINTOUT VIA EMAIL
     

  2. Specify the required information
    1. Subject: Provide a subject in the free text area
    2. To Address: Select an address from the available email addresses
    3. Printout: From the drop down list select the Printout to be sent to customer
    4. Body: Provide information you would like to include to the email in the available text area. 
      You can use the Editor to format your body text accordingly 

      The customer is selected based on the Accounts Receivable of the selected entity. A list of the customer's email addresses is available. If the related customer has set only one address registered in the system, then that address will be automatically selected.

  3. Click on SUBMIT
