Managing Inventory
Navigate to Commerce > Inventory
Your warehouse is where all your stockable items (traceable and non-traceable) are stored
Items from the warehouse can be sold or rented to Contacts
This is also where any items returned by a Contact will be stored
The stock balance is adjusted accordingly whenever a stock item changes ownership
A Business can only have a single Warehouse which is automatically created once a Business signs up to CRM.COM.
View Stock Balance
Select this option from the warehouse card on the Inventory screen to view your warehouse stock balances, i.e. the list of all stockable physical goods located in you warehouse. In the case of traceable physical goods, this is also the access point to view the actual list of devices in the warehouse by selecting the View devices link.
View Devices
View a list of Devices located in your warehouse by selecting View Devices from the Stock Balance screen. You can only view the devices of one type of physical good at a time.
There’s a list of available actions for each device:
Change Location
A Device can have a spatial location within the physical warehouse, use this action to identify the exact location of the device (e.g. geospatial coordinates, shelf numbers etc.)
View History
Take a look at how the history of a selected device has evolved, from the moment it was stocked in to the warehouse, when it was sold or rented, when it was returned, and so on.
Set as Inactive / Available
Change the Device’s state to Inactive to mark it as unavailable (i.e. cannot be sold or rented to a Contact). This state can be changed back to Available at any point in time.
Inventory Actions
From the Stock Balance screen select the more options (…) icon to perform further actions.
Stock In
This action can be used to add new products to a warehouse.
You can stock in multiple products with a single transaction:
Product - Select one or more products to be stocked in, only stockable products can be included, traceable or not
Quantity & Serial Numbers - The quantity of items to be stocked in is required only for non-traceable physical goods. In the case of traceable physical goods, you must specify the serial numbers of the devices that you are adding to the inventory. The number of serial numbers will be used to determine the quantity.
Unit Cost - Enter the product's unit cost, note that this cost is irrelevant to the product’s selling/rental price.
Stock Adjustment
Issue a Stock Adjustment transaction to correct any stock balance errors for traceable or non-traceable products, through the dedicated action on Stock Balance screen.
Product - Select one or more products
View the Available Balance and increase or decrease it by setting the Adjusted Quantity, in the case of traceable physical goods - specify which of the existing devices must be removed and which ones should be added
A third warehouse transaction is performed in CRM.COM known as the Stock Out transaction. Warehouse items can only be stocked out when an item is sold or rented, i.e. has been removed from the warehouse and is in the possession of a Contact.
Warehouse Actions
View Transactions - This is the same option which is also available from the warehouse card on the Inventory screen.
View Transactions
This is a log of all transactions performed against warehouse items, click on the ‘eye’ icon to view further details. The list includes all three types of warehouse transactions; Stock In, Stock Out and Stock Adjustments.
Inventory Settings
Navigate to Settings > Commerce > Inventory
Device Statuses
There are pre-defined device statuses in the system describing the state of a device at any point in time. Additional statuses can be configured by the Business, but must be mapped to one of the default statuses available, in order to copy their behaviour:
Available - The device is located within a warehouse and can be either rented or sold
Inactive - The device cannot partake in any warehouse transaction or transfer
Rented - Device is still owned by the Business/Merchant but is currently located at a Contact’s subscription address
Own Device - A Contact’s own device, can be transferred to another Contact but cannot partake in warehouse transactions
Sold - Device belongs to a retailer/distributor, or to a Contact and has been sold through an invoice
