What are Conditional Security Restrictions

CRM.COM software allows you to set Conditional

?

Conditional Security Restrictions (CSR) that provide the ability CSRs) are used to restrict the visibility of certain System features of the system including data entry pages fields, based on conditions, which can be applied on specific organizational units. CSR restrictions are also applicable in all and attributes of each module, and to define particular attributes as 'Non-editable' or 'Mandatory'. The Restrictions are applied provided that certain conditions set on the Organisational Units and the entity are met. CSRs are also applicable on all Web API calls. 

You can define restrictions to the following system entity types:

  • Fields
  • Processes
  • Printouts

Depending on the type of the entity then different restrictions may be appliedDifferent Restrictions may be applied, depending on the Type of the entity:

Conditional Security Restrictions attributes 

Name

Description
  • Navigate to Conditional Security Restrictions (CSRs) and explore existing entries via the Summary page.  
  • Click on the link (Name or Number) of the entry of your interest to enter the Data Entry page and see more detail. 
  • Use the Actions Menu to create a NEW CSR, modify (EDIT) or DELETE an existing one.  
  • Use BACK to return to the Summary page and CANCEL to revert any unwanted changes made to the CSR.

Main Information 
Name*The name of the Conditional Security Restriction (CSR).
Entity*The entity that the CSR will be applied onto.
State* The state of the CSR which can be active or inactive'Active' or 'Inactive'.

Restrictions are available once the Entity in the Main Information is set.

 

Fields
FieldsThe following restrictions can be applied on fields are the followingSet them :
  • They can be set as not visible
  • Set them as not editable
  • Set them as mandatory
  • Processes: Visible.
  • They can be set as not Editable.
  • They can be set as Mandatory.
Note

A tab or attributes within a tab can be selected. For example, Addresses or Addresses / Area can be selected. By selecting the whole tab, top level restrictions are defined (and not for each item explicitly). 

Unless stated otherwise in the CSR, the System sets the fields as Editable and Visible (default).

Processes
Processes

The restrictions that can be applied

on processes are the following
  • Set them as not applicable
Printouts:

to Processes. Processes added to the list are set as 'Not Available'.

Defining your own Conditional Security Restrictions tailored to your company's needs

  • Navigate to FOUNDATION > SECURITY MANAGEMENT > SET UP CONDITIONAL SECURITY RESTRICTIONS
  • Search for the Conditional Security Restriction or click on NEW to create a New one
  • MAIN INFORMATION

    1. Provide the required information
      1. Name
      2. Entity: The entity that the CSR will be applied on 
      3. State
      4. Description

      1. Click on ADD and provide the required information
        1. Select a Field
        2. Set them as not visible by removing the check that is automatically added under Visible column when adding a field

        3. Set them as mandatory by adding a check under the Mandatory column once you add a field

        4. Set them as not editable by removing the check that is automatically added under Editable column when adding a field

          Note that you can select either a tab or attributes within a tab. For example you can either select Addresses or you can select Addresses/Area. On selecting the whole tab you are defining the restrictions on the top level and not in each item explicitly. 

          Note that by default the system has all fields set as Editable and visible unless stated otherwise in the  CSR
