What are Price Plans?

Price Plans are your company's price catalogues. All the billed products must be added to at least one Price Plan in order for billing to be applicable. You can have multiple configured Price Plans and each Subscription / Job (CRM.COM billable entities) can be charged from a different Price Plan. Price Plans can also be conditional, meaning that the rates in these Price Plans can only be applied if certain conditions are met. Using conditional Price Plans you can create a plethora of promotions of promotions and discounts to your customers.

Price Plans Key Processes and Concepts

Processes / ConceptDescription

Base Price Plans Vs Conditional Price Plans

  • Base” price plans provide a base price rate for each service or physical good included
  • Conditional” price plans provide a price rate which depends on fulfilling a set of conditions
In order to create a Conditional price plan a base price plan is required which serves as the basis and will be applied in case conditional price plan conditions are violated and cannot be applied for billing

Price plan conditions are divided into two categories:

  • Conditions to select a price plan
Applicable at the time that you are creating / modifying the billing term of a billable entity (Subscription or Job)
  • Conditions to apply a price plan
Applicable  Applicable during actually billing the billable entity (Subscription or Job)
Modifying used / applied Price Plans

Existing Rates on a Price Plan cannot be modified, if the Price Plan has already been applied on a billable entity (Subscription / Job). However you have the option to add a new product to an existing price plan, only if it is not yet in the Price Plan.

You can use the Edit button only if the Price Plan has not yet been used at all.

In case that you would like to change a Price Plan altogether, then the Price Plan will need to be replaced. If replaced, then the current price plan will become expired and the new plan will have an effective date equal to the expiration date of the old price plan.

During billing, products will be billed using the old price plan rate, up to its expiration date and using the new price plan rates after the expiration date.
This rule is possible to be overridden in case that customer contracts exist, where the prices from the old plan should be applied till contract end.
For more information on this, check out Billing Term Definitions

Versioning and Code

Price Plans are identified by the Price Plan Code. Each Price Plan also holds a version, always starting from 0.

When a Price Plan is replaced, its Code will remain the same, however the Version will be increased by 1.

You can view all the previous versions of a Price Plan by using the Previous Version link (available both from Summary and Data Entry page)

Adding a Product to used / applied Price Plans

Used Price Plans cannot have their existing price plan rates modified, therefore Editing a Price Plan is not allowed by the system in this case.
However, if you would like to add a rate for a new product to your price plan you can do so, by an action available via the Actions Menu.
Visit Adding rates for new products to used Price Plans to find out more information
Adding a product to a Price Plan via Products page

There are two possible ways to create a rate for a product in Price Plans:

  • Via the Price Plan page where you will add all the products once they are created and provide a rate for each one
  • Via the Products page where while you create / edit a product, you can add the Price Plans where it should be included and provide the desired rate.

Visit Creating Products to find out more information about how you can directly add a product to a price plan, via Products Data Entry page.

Price Plan Rate Classifications

Price plan rates are grouped together based on the characteristics of the services that they relate to, through price plan rate classifications:

  • One Time Service Rates: Rates related with services that will be charged one time only and not on a recurring basis based on their duration
  • Expenses Rates:  Rates related with services that are provided and billed just once for a fixed amount of money
  • Termed Service Rates: Rates related with services that will be charged on a recurring basis based on their quantity and not their usage
  • Physical Goods Rates: Rates related with physical goods
Price Plan Rate ModelsPrice plan rate models are used to determine the calculations that will be performed in order to work out the final price that will be applied on a product. Each product can only be added once in a price plan and only have one price plan rate model, within the same price plan. The availability of price plan rate models depends on price plan rate classification. Check the table below, to see what are the available Rate models for each classification of products within the Price Plan.
Check out the Business Examples below, to see how each Rate Model satisfies different business needs.

Defining Tiered Rate Levels for either Flat Rate or Tiered Rate Models

Regardless of the Rate Model type, that could be a Flat or a Tiered Rate, you have the option to define Tiered Rates for both models. Each model, however, follows a different logic of how Tiered Rates are applied:

  • Flat Rate Model, Tiered Rate Levels
This model is not cumulative; if the quantity falls into multiple flat rate levels, then the final price is equal to the flat rate price of the highest level. If the quantity does not fall into any quantity range then the final price is equal to the base price

For example if from 1 to 1 the price is 10 and from 2 to unlimited the price is 8 then:

A service distributed once will be billed for 10 euros
A service distributed twice will be billed for 8 euros (i.e. 8*2)
A service distributed more than twice will again be billed for 8 euros (i.e. 8*3)

  • Tiered Rate Model, Tiered Rate Levels
This This model is cumulative, meaning that, if the purchase of a product falls into multiple tiers, then the final price is calculated by adding up the base rate and the rates of each tier.

For example if from 1 to 1 the price is 10 and from 2 to unlimited the price is 8 then:

A service distributed once will be billed for 10 euros
A service distributed twice will be billed for 18 euros (1*10) + (1*8)
A service distributed more than twice will again be billed for 16 euros (1*10) + (2*8)

Pricing of Product Bundles

Fixed Bundle Products can be set a price just like the rest of the products however Flexible Bundle Products have additional options such as:

  • Define a price at the Bundle Level (One price for all included products, within the bundle)
  • Define a price at product level and differentiate when product is sold as stand alone or as part of the bundle
  • Define both prices and Bill for both the bundle and each product individually

Visit Defining price rates for Product Bundles  to find out more information about the different pricing models available for product bundles

The settings can be set at two levels:

  • Condition Group:
    • Criteria in All Condition Groups should be met
    • Criteria in At Least One Condition Group should be met
  • Condition Group Rows:

Name

Description

Applicable Price Plan Rate Bands

1Flat RateApplies a single fixed price without considering any product attributes such as the quantity, duration or maturity.
  • Expenses

2

Flat rate, quantity based

Applies a single fixed price based on the quantity of the services or physical goods, which starts from a base rate and changes as the quantity increases. using a price table made up of multiple flat rates. This model is not cumulative, meaning that, if the quantity falls into multiple flat rate levels, then the final price is equal to the flat rate price of the highest level. If the quantity does not fall into any quantity range then the final price is equal to the base price.

If this type is used for Termed Subscription services then the logic changes based on the distributor.

The quantity of the service will be counted based on the number of authorised and initialised distributors of the service. The service will be billed only once, taking into consideration the appropriate price.

  • One Time Services Rates
  • Termed Services Rates
  • Physical Goods Rates
3Flat rate, duration based

Applies a single fixed price based on the duration of the services, which starts from a base rate and changes as the duration that was required to provide the service increases using a price table made up of multiple flat rates.
This model is not cumulative, meaning that, if the duration falls into multiple flat rate levels, then the final price is equal to the flat rate price of the highest level. If the duration does not fall into any quantity range then the final price is equal to the base price.

  • One Time Services Rates

4

Tiered rate, quantity based

Applies a price which starts from a base rate and progressively changes as the quantity increases, using a price table made up of multiple tiers. Each tier defines a quantity range and the rate that will be applied on a product, if the quantity of the purchased product falls within that range.
This model is cumulative, meaning that, if the purchase of a product falls into multiple tiers, then the final price is calculated by adding up the base rate and the rates of each tier.

  • One Time Services Rates
  • Termed Services Rates
  • Physical Goods Rates

5Tiered rate, duration based

Applies a price which starts from a base rate and progressively changes as the duration that was required to provide the service increases, using a price table made up of multiple tiers. Each tier defines a duration range and the rate that will be applied on a service, if the duration of the service falls within that range. This model is cumulative, meaning that, if the duration of the service falls into multiple tiers, then the final price is calculated by adding up the base rate and the rates of each tier.

  • One Time Services Rates

6

Tiered rate, maturity based

Applies a price which starts from a base rate and progressively changes as the subscription maturity (age length) increases, using a price table made up of multiple tiers. Each tier defines a period range and the rate that will be applied on a product, if the subscription age falls within that range.
This model is cumulative, meaning that, if the subscription age falls into multiple tiers, then the final price is calculated by adding up the base rate and the rates of each tier. The “To” field, in tiered pricing, includes the binding end, as an option in addition to the standard options (free text Integers and unlimited option). “From – To” periods can also be extended, if a customer subscribed to a recurring service is in resting or not effective for a period of time.

  • Termed Services Rates
