Navigating to Rewards Participants

REWARDS APPLICATION > REWARDS > MANAGE REWARDS PARTICIPANTS

Using Rewards Participants

  • Navigate to Rewards Participants and explore existing records via the Summary page. 
  • Click on the link (name or number) of the record of your interest to enter the Data Entry page and see more detail. 
  • Use the Actions Menu to create a NEW Rewards Participant or modify (EDIT) an existing one. 
  • Use BACK to return to the Summary page and CANCEL to revert any unwanted changes made to the Rewards Participants. 
  • Click on ACTIONS to discover other possibilities available for Rewards Participants.

Check the Validations & Restrictions Table below for a list of available Actions when working with Rewards Participants including each Action's related restrictions and validations as well as additional information. View the Attributes Table for a comprehensive description of the Rewards Participants fields.

Rewards Participants Awarding and Spending

Life Cycle State*

AVAILABLE FROM CRM.COM R12.0.0

The life cycle state of the Rewards Participant which can be one of the following:

  • Effective
  • Terminated
Contact Information*The Contact Information related to the Rewards Participant
Account Information*The Accounts Receivable owned by the Rewards Participant.  The account identifies the CRM.COM customer and handles all Financial Transactions posted as a result of Award or Spend Reward Transactions
Billing Address*The billing address indicated on the related Accounts Receivable
Wallet Information

Information related to the Wallet including:

  • Wallet Balance
  • Wallet Allotments, indicating how money included in the Wallet can be spent
Participating Schemes

A list of Reward Schemes that the Rewards Participant has joined. The following information is kept for each Scheme:

  • Reward Scheme
  • Sign up Date
  • Sign up by Unit

Signed off Participating Schemes

 

A list of Reward Schemes that the Rewards Participant has already signed off from. The following information is kept for each Scheme:

  • Reward Scheme
  • Sign up Date
  • Sign-off Date
  • Sign up by Unit

This section is "Read-only" and only available if the participant has signed off a participating Reward Scheme.

As from CRM.COM R10.0.0 Signed off Schemes will be available in the Participant History modal screen available through the View Participant History Action

Communications

 

All the communications related to the Rewards Participant

As from CRM.COM R10.0.0 Communications will be available in the Participant History modal screen available through the View Participant History Action

Sign Up Details*
  • Sign up Date: The date that the participant signed up 
  • Sign up by Unit: The unit that signed up the participant
Access Tokens*The Access Tokens which are linked with the Rewards Participant and are used to identify and access Rewards Participant information. Access Token can be automatically generated depending on the 'Active' Access Token Definition settings

Auto Spend Authorisation

AVAILABLE FROM CRM.COM R11.0.0

Defines whether the Rewards Participant requires to automatically spend the available awarded amount without explicitly requesting it at the time of award/purchase.

If selected the Instant Spent Authorisation, is done regardless of the Instant Spent setting on the Reward Offer and it is only applicable for the following offer types:

Spend Requests Blocking State

AVAILABLE FROM CRM.COM R10.1.0

  • Allow Rewards Participant from submitting Spend Requests: Indicates whether the Rewards Participant is allowed to submit Spend Requests. Once the Participant is created, Spend Requests Blocking State can only be modified through a dedicated action. 
  • Date Updated: The date on which the Rewards Participant was blocked from submitting Spend Requests
  • Updated by User: The user who performed the action which blocked the Rewards Participant from submitting Spend Requests

    Participants who are marked as 'Blocked' can no longer spend any of their available awarded amounts. 

Termination Information

AVAILABLE FROM CRM.COM R12.0.0

  • Termination Reason: The reasoning on the Rewards Participant's termination. The predefined list of termination reasons includes:
    • Customer Request
    • Fraud
    • Duplication
  • Termination Date: The date on which the Rewards Participant was terminated
  • Terminated by User: The user who terminated the Rewards Participant

  • Replaced by Rewards Participant: The Rewards Participant which replaced this terminated Rewards Participant. This is available and applicable only if the Termination Reason was set to "Duplication"

This section is "Read-only" and only available if the participant is terminated.

Log InformationThe standard set of Log Details information available in all entities  

Additional Actions for Rewards Participants

Signing Off a Participating Reward Scheme 

Rewards Participants can be signed off from Reward Schemes that they participate in at any time.

Signing off a Reward Scheme means that the participant is no longer able to be awarded from the scheme's related Reward Offers. The Participant is, however, awarded for any events which were generated prior the sign off but not yet processed. The Participant is still able to spend any amount which was awarded through a specific scheme even after the sign off.

  1. Navigate to Rewards Participants
  2. Search using the criteria available in the Summary page
  3. Click on the Rewards Participant that you would like to sign off from a particular scheme, to go to the Data Entry page
  4. Click on EDIT
  5. Go to the Participating Schemes section
  6. Check the check-box next to the scheme you would like to sign off the participant from
  7. Click on Remove
  8. From the Actions menu click on SAVE 

View Rewards Participant History AVAILABLE FROM CRM.COM R10.0.0

Information about a Reward Participant's transactions and communications is available on a dedicated screen accessible via the participants Data Entry screen. 

  1. Navigate to Rewards Participant
  2. Search for the participant and click on their number to access the Data Entry page
  3. From the Actions Menu click on ACTIONS > VIEW PARTICIPANT HISTORY
    1. A modal window opens with the following information

Block Rewards Participant from submitting Spend Requests AVAILABLE FROM CRM.COM R10.1.0

Blocking Rewards Participants from submitting Spend Requests is used to either permanently block fraudulent participants, or temporarily block ones that are under investigation.

  1. Navigate to Rewards Participant
  2. Search for the Participant and click on their Number to access the Data Entry page
  3. From the Actions Menu click on ACTIONS > BLOCK SPENDING

Unblock Rewards Participant from submitting Spend Requests AVAILABLE FROM CRM.COM R10.1.0

Unblocking Rewards Participants from submitting Spend Requests is used to allow previously blocked participants to start spending their Awards again.

  1. Navigate to Rewards Participant
  2. Search for the Participant and click on their Number to access the Data Entry page
  3. From the Actions Menu click on ACTIONS > UNBLOCK SPENDING

Terminating Rewards Participant AVAILABLE FROM CRM.COM R12.0.0

Rewards Participants can terminate their rewards program participation at any time.

Terminating Rewards Participant means that the participant is no longer able to submit Customer Events, be awarded or spend any awarded amount. If the participant is terminated due to duplication then the participant to be replaced by can be defined, and it is possible to transfer the terminated participant's Access Token and Wallet balance to the other participant.

  1. Navigate to Rewards Participants
  2. Search using the criteria available in the Summary page
  3. Click on the Rewards Participant that you would like to terminate, to go to the Data Entry page
    1. The Rewards Participant must be in Effective life cycle state
  4. From the Actions Menu click on ACTIONS > TERMINATE PARTICIPANT 
  5. In the modal provide all the necessary information as explained in the Attributes Table.
    1. If the Termination Reason is set to Duplication then provide the following information
      Mandatory
      1. Replaced by Rewards Participant
      Optional
      1. Check box to Transfer Wallet Balance
      2. Select the Access Token(s) to be transferred
  6. Click on SAVE
