Viewing a Prepaid Billing Run

Navigating to Prepaid Billing Run Module
Follow the steps below In order to Navigate to Prepaid Billing Run
- Login using your username and password
- Navigate to Billing Application > Billing
- Click on Perform Prepaid Billing Run
- The Billing Run summary screen is displayed!
Searching for existing Prepaid Billing Run
The first step in searching for Prepaid Billing Run is to define the criteria for your new search. You can define your search criteria in two different ways:
- Basic search
- Advanced search.
Basic Search
You can find an existing Billing Run through the Billing Run summary screen by specifying at least one of the following criteria:
- Number: An auto generated number which uniquely identified each prepaid billing run
- Life cycle state: The life cycle state of the prepaid billing run. The supported states are the following:
- Bill as of date: Defines the date that prepaid billing run should be performed as. The bill as of date takes a default value based on the bill as of day setting specified in prepaid billing run definitions, although it be modified by users
- Draft: The billing run was not executed yet
- Identification & Rating: The billing run was executed up to this step
- Completed: All billing run steps were executed successfully
- Failed: The billing run was not executed and no bills were created
- Completed with errors: the billing run was executed, with minor errors and bills were created
- Next Billing Run: If the Billing Run is set as recurring from the Prepaid Billing Run Definition, this will be equal to the Next Billing Run to be executed
- Is Recurring: Defines if the Prepaid billing run is recurring or one time. In the case of recurring prepaid billing runs, the recurrence is inherited from the prepaid billing run definitions (and is visible to the user)
Click on Find to retrieve the results based on the search field you completed.
You may search within the results modifying the above fields and then click on Find
Advanced Search
Additional criteria can be found in the advanced search by clicking on the arrow next to the Find button. Those criteria include the following:
- Created By: The user that created the Billing Run
- Created By Unit: The unit of the user that created the Billing Run
- Updated By: The user that last updated the Billing Run
- Updated by Unit: The unit of the user that last updated the Billing Run
- Date Created: The date the Billing Run was created
- Date Last Updated: The date the account was last Billing Run
Click on Find to retrieve the results based on the search field you completed.
You may search within the results modifying the above fields and then click on Find
Setting your own criteria
Not enough criteria for your business needs? That's not a problem. You can select your own criteria through a rich list of available criteria, designed to meet any industry's need. You will find those criteria in the Available Filters & Advanced Filters section of the Summary Page Settings, in four simple steps:
- Click on the Preferences button in the Summary Page
- Go to Filters or Advanced Filters section
- Select the criteria that should be available on you summary page
- Click Save
Going through the search results
Taking a glimpse
After each search, you will come across with the most important Prepaid Billing Run information, which becomes available to you with just a quick look at the results.
- Number: An auto generated number which uniquely identified each prepaid Billing run
- Life cycle state: The life cycle state of the prepaid billing run. The supported states are the following:
- Draft: The billing run was not executed yet
- Identification & Rating: The billing run was executed up to this step
- Completed: All billing run steps were executed successfully
- Failed: The billing run was not executed and no bills were created
- Completed with errors: the billing run was executed, with minor errors and bills were created
- Bill as of date: Defines the date that prepaid billing run should be performed as. The bill as of date takes a default value based on the bill as of day setting specified in prepaid billing run definitions, although it be modified by users
- Is Recurring (Scheduling settings) : Defines if the prepaid billing run is recurring or one time. In the case of recurring prepaid billing runs, the recurrence is inherited from the prepaid billing run definitions (and is visible to the user)
- Next Billing Run: The number of the next billing run to follow the existing one
Digging for more
Soon after taking a glimpse at the result, you will probably need to look for more information. Well, CRM.COM Software is designed for that! Use the multilevel drill down menus to check additional Prepaid Billing Run information such as:
- Filters
- Accounts receivable: A list of accounts receivable that are used as filters. If specified then only the those accounts receivable will be billed by the prepaid billing run process
- Subscriptions: A list of subscriptions that are used as filters. If specified then only those subscriptions will be billed by the prepaid billing run process
- Groups: A list of Groups that are used as filters. If specified then only the accounts receivable owned by the specified Groups will be billed by the prepaid billing run process
- Results:
Note that not all fields will be populated; fields will be available according to the step.- Step:
Each of the steps executed in the Billing Run and the related information (If the specific step only goes up to Rating step then only Identification and Rating step will be available; if it goes till Formatting then all 5 steps will be available)- Identification
- Identification & Rating
- Start Date: The start date of the specific step
- End Date: The end date of the respective step
- Subscriptions Included: The number of Subscriptions included in the respective step
- Accounts Receivable Included: The number of Accounts Receivable included in the respective step
- No of Wallet Transactions: The number of Creating Wallet Transactions - R5&R6 that have been created by the Billing Run. (Wallet Transactions are not always created. It depends on the Wallet Definitions)
- Step:
- Exceptions
Provides any records that have not been properly billed, along with the error code- Accounts Receivable: The account that has not been billed
- Code: The error code
You could further use the expand section at the end for even more information such as:
- Created By: The user that created the Billing Run
- Created By Unit: The unit of the user that created the Billing Run
- Updated By: The user that last updated the Billing Run
- Updated by Unit: The unit of the user that last updated the Billing Run
- Date Created: The date the Billing Run was created
- Date Last Updated: The date the account was last Billing Run
Making your search results more meaningful
Are the search results too basic for your business needs? It is up to you to make them more meaningful and up to CRM.COM to provide you the tools to do so. You can add more information to your test results through the summary page setting, through the Summary Page Settings, following three simple steps:
- Click on the Preferences Settings
- Go to the Summary Fields sections
- Select the fields that should be visible in your search results by adding from Available Columns to Summary
Viewing a Prepaid Billing Run
Having a first look
Prepaid Billing Run detail page is divided in various sections, providing semantic meaning to each and every piece of information that you are accessing: These sections include the following:
- Main Information: This section provides information such as The Life Cycle State the Bill AS of date and Transaction Date
- Log Information: This section provides log information such as when the prepaid billing Run was created or last updated and by which user
- Results Summary: List of the accounts that have been included in the Billing Run
- Generated Bills: Bills generated by the Billing Run
- Conditions
Conditions that have been applied by the Billing Run to decide which accounts to bill- Consider Billing Term Schemes
- Consider Accounts Receivable Classifications
- Filters: This section provides specific subscriptions, specific jobs, specific accounts or accounts owned by specific groups, to bill
Getting down to details
Soon after having a first look, you will probably need to pull your sleeves up and get down to details. CRM.COM Software is designed to provide the ability to view as much information as possible within the same screen, but in the same way making it easy for you to navigate through them and quickly get to the information that you are looking for. This is achieved by navigating through the various semantic sections provided by the data entry screen. Those sections include the following:
- Main Information
- Life cycle state:The life cycle state of the prepaid billing run. The supported states are the following:
- Draft: The billing run was not executed yet
- Identification & Rating: The billing run was executed up to this step
- Completed: All billing run steps were executed successfully
- Failed: The billing run was not executed and no bills were created
- Completed with errors: the billing run was executed, with minor errors and bills were created
- Bill as of date: Defines the date that prepaid billing run should be performed as. The bill as of date takes a default value based on the bill as of day setting specified in prepaid billing run definitions, although it be modified by users
- Enable Start Service Step by Default: Denotes whether the Billing Run included a step to start any services that are deactivated and they have been settled
- Enable Stop Service Step by Default: Denotes whether the Billing Run included a step to stop any services that were activated but there was not enough money in the wallet to cover the services
- Enable Wallet Consumption Estimation Step: Denotes whether the estimations with regards to remaining consumption days (based on wallet balance) were executed as part of the Billing Run.
- Scheduling settings: Defines if the prepaid billing run is recurring or one time. In the case of recurring prepaid billing runs, the recurrence is inherited from the prepaid billing run definitions (and is visible to the user)
- Life cycle state:The life cycle state of the prepaid billing run. The supported states are the following:
- Conditions Section:
For all of the following sections, if nothing is defined, then all of them are included- Consider Billing Term Schemes
A selection of The Billing Term Schemes included in the Billing - Consider Accounts Receivable Classifications
A selection of the A/C Classifications included in the Billing
- Consider Billing Term Schemes
- Filters Section
- Selection of Subscriptions to be included in Billing
- Selection of Accounts Receivable to be included in Billing
- Selection of accounts owned by specified User Group to be included in Billing
- Results Summary
