What is a Balance Calculation?
In CRM.COM the Balance of an account is a dynamically calculated field. Two different types of Balances are used:
- Accounts Receivable Balance:
- APPLICABLE UP TO R9 - The aggregated amount of posted debits and credits allocated against the Accounts Receivable
- AVAILABLE FROM CRM.COM R10.0.0 - Calculated as the latest accounting period's opening balance plus all of the Financial Transactions posted against the accounts receivable during this latest accounting period.
- Accounts Receivable Outstanding Amount: The total outstanding amount which is owed by the customer, as of a specific date, which is the aggregated amount of posted unpaid debits which are past their due date.
Account Balance and Account Outstanding amount are both available via the Accounts Receivable Summary and Data Entry pages.
Calculating the Accounts Receivable Balance
The Balance of an Accounts Receivable is the total amount of debit and credit Financial Transactions which are posted against that account, as of a specific date.
The Accounts Receivable Balance is calculated with the following formula:
APPLICABLE UP TO R9 Balance = Sum (Total amount of all debit transactions which were posted against that account) - Sum (Total amount of all credit transactions which were posted against that account)
AVAILABLE FROM CRM.COM R10.0.0 Balance = Opening balance of the accounts receivable + Sum (Total amount of all debit transactions which were posted against that account and are not related to any Accounting Period) - Sum (Total amount of all credit transactions which were posted against that account and are not related to any Accounting Period)
Calculating the Accounts Receivable Outstanding Amount
The outstanding amount of an Accounts Receivable is the total owed by the customer (on a specific date); the aggregated amount of posted debits which are past their due payment date.
The outstanding amount is calculated with the following formula:
Outstanding Balance = (Total amount of all debit transactions which were posted against that account, having a due date greater or equal to current date) - Sum (Total amount of all credit transactions)
