What does this section cover?

What are the Communication Queue External Systems?

Communications Queue External Systems are used to define the external systems which are allowed to access and process information kept in the communications queue. External Systems are added on a communication during its creation via Notification Runs, provisioning mail runs or when created by the Web API.
Communications created via the user interface communication data entry page or through Communicate Entity action, cannot have external systems added to them.

Communication Queue External Systems attributes 

Name

Description

Name*

The name of the external system

Description

The description of the external system

Alternative Code*

The alternative code of the external system. On creating a new external system it defaults to the first letter of each word included in the name (in capitals), if nothing else is specified

Message Character Count LimitThe max number of characters accepted by the external system when used to send a message. The minimum limit between this and the limit set in the Communication definition is taken into consideration when sending communications
Log InformationIncludes the standard log information
Allowed Organisational unitsThe organisational units that can use the specific external system

 

Defining your own Communication Queue External Systems tailored to your company's needs

  1. Navigate to MODULE CONFIGURATION > CRM APPLICATION > COMMUNICATIONS > SET UP COMMUNICATION QUEUE EXTERNAL SYSTEMS

  2. Either search for an existing one or from the top menu click on "NEW" to access the data entry page

  3. MAIN INFORMATION

    1. Provide the following information:

      1. Name

      2. Description
      3. Alternative Code
      4. Message Character Count Limit
  4. ALLOWED ORGANISATIONAL UNITS

    1. Click on "ADD" and select between
      1. COMMUNITY
      2. GROUP
      3. UNIT
    2. Use the Search modal to select the Organisational unit you would like to add.
    3. You can select any type of Organisational unit according to the restrictions that you would like to set or none at all.

  5. LOG INFORMATION

    Log information section keeps all the logging information related to the specific record

    • Basic set of information available in all entities
      • Created By User: The user that created the entity
      • Created By Unit: The unit of the user that created the entity
      • Updated By User: The user that last updated the entity
      • Updated by Unit: The unit of the user that last updated the entity
      • Date Created: The date the account was entity
      • Date Updated: The date the account was last entity

  6. From the Top Menu click on "SAVE"

Deleting Communication Queue External Systems

  1. Search for the entity that you would like to delete
    Visit  Using Summary Pages   to find out how you can search using CRM.COM Summary Screens
  2. Click on the link of the record you would like to delete, to be transferred to the Data Entry page
  3. From the actions menu click on "DELETE"
     The entity will be deleted given that the validations are satisfied
